Frequently Asked Questions

Does my small business need an employee handbook?

Yes! Even businesses with just a few employees benefit from a written employee handbook. A handbook sets clear expectations, communicates your policies consistently, reduces misunderstandings, and provides legal protection if an employment dispute arises. Without one, you're relying on verbal agreements that are difficult to enforce and easy to misremember.

What should be included in a small business employee handbook in Maine?

A Maine small business employee handbook should include an at-will employment statement, anti-harassment and anti-discrimination policies, Maine Earned Paid Leave policy, wage and hour information, attendance and PTO policies, disciplinary procedures, social media and technology use policies, and a clear acknowledgment signature page. Maine-specific requirements differ from federal baselines, so generic templates often fall short.

How often should an employee handbook be updated?

Employee handbooks should be reviewed at least annually and updated any time employment laws change, your business adds a new policy, or you've experienced a situation the current handbook didn't address clearly. Many Maine businesses are operating with handbooks that predate recent changes to state paid leave law and remote work policies.

What HR documentation should I keep on file for each employee?

At minimum, you should maintain a personnel file with the offer letter, signed handbook acknowledgment, I-9 form (stored separately), performance reviews, any disciplinary documentation, and separation records. Proper documentation protects your business in the event of an unemployment claim, discrimination complaint, or wage dispute.

Can Range Culture Co. create HR policies and documentation for my business from scratch?

Yes! We build customized employee handbooks, standalone HR policies, job descriptions, offer letter templates, and performance management documentation tailored to your business size, industry, and Maine-specific legal requirements. Everything is written to be clear, legally sound, and practical for a small business environment.
